The Heart of America Council is making it easier than ever to manage your yearly membership with our Unit Renewal Process. This 6-Step plan puts the renewal process in your hands with resources to renew your unit and members all in one place.
Review the Renewal Change & Reminder memo and your unit roster located at My.Scouting.org. The documents below will show you step-by-step instruction how to renew your unit and then your members.
Review your unit roster to ensure all adults are current with their Safeguarding Youth Protection training. Determine what youth and adults will be returning.
Next, a designated member of your unit's Key 3 will log into My.Scouting.org.
Each unit has a designated expiration month. You should complete your unit renewal as soon as possible during the two month window prior to your unit’s expiration month. For directions on Unit Renewal, see the Key 3 Unit Renewal document in Step #1.
To transition all unit renewals to a single annual renewal month by February 2028, a prorated fee schedule will begin this fall with units scheduled to expire in October. This chart shows the prorated amount your unit will pay during this transition period.
Renew your unit charter following the guidelines and then complete payment. You may also print the Unit Renewal Paper described on page 6 of the directions and bring that document (signed by a Key-3 member) with payment to the HOAC Registrar office.
Your Unit Renewal window opens 60-days before your expiration date. Please make every effort to complete this as soon as possible once your unit is eligible to renew.
Member renewal may be done collectively by the unit, or individuals may elect to complete their own renewal online. Detailed guides on this process are listed in Step #1. Individual Scouts and Scouters also have a renewal month, member renewals this fall will renew for another 12-month period; fees will remain the same ($124 for youth, $104 for adults). Members renewing in March 2027 or later will begin transitioning to a prorated fee schedule through February 2028.

Renewals may best be completed online at My.Scouting.org. Units wishing to complete member renewals at the HOAC Registrar’s office should bring payment and the Unit’s Summary Fees document as illustrated on page 7 of the Unit Pay for Member Renewal training aid.
